E-Forms
Introduction
The E-Forms function is a feature in i-Neighbour that allows the Management in the neighbourhood to easily create their own online customizable form for the community. Not only can the forms be sent out via i-Neighbour but residents in the neighbourhood can likewise fill up the forms without having to be physically present at the Management Office. Correspondingly, the Management will also be able to receive and process the forms much more efficiently than ever before.

For your convenience, the E-Forms module is made available on both Web and Mobile Application. Please refer to the guide below to find out more on the full extent of this handy feature.
How To Create A E-Forms (Admin):
For Web -
Before proceeding with this section, please note that only the Admins in the neighbourhood can create the E-Forms and the forms can only be done in the Web Portal of i-Neighbour.

To start adding the E-Forms, please login to your Admin account at www.i-neighbour.com > NEIGHBOURHOOD > E-Forms. Once in the overview, Admins will be prompted to create new E-Forms by clicking on the Build Now button.
After clicking on it, Admins will be redirected to the Build Form page whereby you can start customizing on any forms that is required from the neighbourhood, i.e. visitor overnight stay application, additional parking request application and etc. Therefore, please enter the relevant fields in order to begin the process. Note that Admins can drag whichever field that they wish into the Drag Box provided and edit the fields accordingly. To proceed further, be sure to click on the Save button located below the fields and click Next.

Once done, Admins will be presented with a preview of the form that was configured beforehand. This is where Admins can review the form before actually posting it into the system for the residents to fill in. Clicking on Next will then take the Admins to the final page in completing the process.

At the last page, Admins can decide who will be able to access the added form. As such, the options provided here are Committees, Unit Owners and Residents. Note that clicking on Residents will prompt the system to display a pop-up for the Admins to specifically select which group of Residents to provide access for. Finally, to complete the process of creating the E-Forms, please click on the Upload button.

How To View, Edit And Delete The Added Forms (Admin):
For Web -
To approve, reject or share the forms applied by the residents, please proceed to i-Neighbour homepage > NEIGHBOURHOOD > E-Forms. Once selected the supposed form, proceed to click on the View icon located beside the E-Forms. In the E-Forms detail page, Admins can then act accordingly.


How To Approve, Reject And Share The Received Forms (Admin):
For Web -
To approve, reject or share the forms applied by the residents, please proceed to i-Neighbour homepage > NEIGHBOURHOOD > E-Forms. Once selected the supposed form, proceed to click on the View icon located beside the E-Forms. In the E-Forms detail page, Admins can then act accordingly.
Once approved or rejected, the respective resident will thus receive a notification regarding the suppose approval results. Note that Admins can likewise comment on the selected application by adding a Progress Update located at the bottom right of the page by clicking on the + icon.
Subsequently, Admins can choose to share or unshare the selected form to the security guards as well. In doing so, the security guards will be well aware of any approvals made by the Management of the neighbourhood.
For Mobile -
To approve, reject or share the forms applied by the residents, please proceed to i-Neighbour App homepage > MORE > E-Forms. Once tapped on the selected form, Admins will be presented with a detail page in which you can then proceed to approve, reject or share the forms applied by the residents.
Once approved or rejected, the respective resident will thus receive a notification regarding the suppose approval results. Note that Admins can likewise comment on the selected application by adding a Progress Update.
How To Apply And View E-Forms (Resident):
For Web -
To apply for a E-Forms in i-Neighbour, please login to your account at www.i-neighbour.com > NEIGHBOURHOOD > E-Forms. Once in the overview, click on the APPLY button located at the top right to begin the process.
Residents will then be directed to a page whereby they can then fill up the application. Firstly, select the application by clicking on the drop-down list and click on Next. You will then be presented with the form created by the Admins; please proceed to fill up the required fields and click on the Save button in order to complete the process.
A pop-up will then be displayed to indicate that the form has been sent to the Admins.
Residents will then redirected back to the overview whereby they can now view the list of forms that they have applied. Note that the results for the application will also be indicated in the Status column, i.e. (Accepted, New, Cancelled).
For Mobile -
To apply for a E-Forms in i-Neighbour, please login to your account at i-Neighbour App > More > E-Forms. Once in the overview, please tap on the Form icon located at the top right to begin the process.

To edit the forms that were applied, please proceed to the overview of the E-Forms page and click on the form that you wish to edit by clicking on the View icon located on the right. Once done, you will be directed to a E-Forms detail page in which you can then begin to edit the form by clicking on the EDIT button located at the top right.
Note that if the forms applied have not been approved or rejected by the Admins of the neighbourhood, the residents can still cancel the supposed forms by clicking on the CANCEL button. Once cancelled, Admins will be notified not to proceed with the application of the form.
For Mobile -
To edit the forms that were applied, please proceed to the overview of the E-Forms page and tap on the form that you wish to edit by clicking on the Settings icon located on the right. Once done, you will be directed to a E-Forms detail page in which you can then begin to edit the form. Once cancelled, Admins will be notified not to proceed with the application of the form.
Note that if the forms applied have not been approved or rejected by the Admins of the neighbourhood, the residents can still cancel the supposed forms by tapping on the CANCEL button. Once cancelled, Admins will be notified not to proceed with the application of the form.
How To View Applications Shared By Admins (Guard):
For Web -
To view the application forms shared by the Admins, please login to your account at www.i-neighbour.com > NEIGHBOURHOOD > E-Forms. Once in the overview, click on the view icon located beside the listed application form to start viewing. Note that this module will not be shown if the Admins of the neighbourhood did not share the applications to the security guards and likewise, the guards will not be able to edit any information within the application.
For Mobile -
To view the application forms shared by the Admins, please login to your account at i-Neighbour App > More > E-Forms. Once in the overview, tap on the listed application form to start viewing. Note that this module will not be shown if the Admins of the neighbourhood did not share the applications to the security guards and likewise, the guards will not be able to edit any information within the application.
Frequently Asked Questions (Additional):
Admin
1. Once created the forms, will I be the only person that could edit the supposed forms or will other Admins be able to edit the forms as well?

Once created, all the Admins are allowed to edit the forms except if he/she is tied up with system role restriction. Note that the Admin’s name and the edit date, time will be recorded, which allows you to track back the Admin who edited the form, if necessary.

2. If I include a Progress Update within the application, will other Admins be able to view the comment or only the Resident who applied?

All the Admins will be able to view the comments. If you shared the application form with the Security Guards, then they are able to view it as well.

3. If I share the E-Forms to the security guards, to what extent will the guards be able to access the application and also will every security guard receive the access to the application?

The Security Guards are only allowed to view the application form details while the editing or sharing actions will be disabled for the guards. Once shared, all the Security Guards will receive the access to view the application.

4. Due to housekeeping reasons, I would like to delete applications that have been approved, how will I be able to do so?

Once the applications have been submitted by the Residents, the delete action will thus not be allowed. This is to ensure that all submitted applications are recorded for further reference.

5. I have found that the applicant’s details are incomplete, but the application has been approved. Can I edit the status to rejected?

No. All status update on the applications cannot be edited. Alternatively, you may insert a comment under the Progress Update section, which allows you to provide further updates on the application.

Resident
1. After completing the application, may I know who will be able to access my application?

The Admins will be able to access your application for the approval process. Besides, if the Admins decided to share your application with the Security Guards, they are then able to access it as well.

2. I notice that my application has not been updated by the Management for quite some time, may I know whether is there any way that I could notify the person in charge?

You may add a comment on your submitted application and the Admins will then be alerted when they process your application. Otherwise, please contact the Management Team if there is still no response.

3. Will I be able to reestablish my application once I’ve cancelled it?

No. Once cancelled, the application status will be updated to “Cancelled” in the Admin’s view. Please re-submit the application form again if you wish to reestablish.

4. After submitted my application, I realized there’s a mistake and wish to amend it. How can I do it?

If you wish to amend the submitted application, kindly proceed to the application form details page > edit. Once amended, the application form will be updated immediately to ensure that the Admins have the latest update information. Note that this action is only allowed before the Admins approved or declined your application.

5. Can my family members or tenants view my application?

No. Your family members or tenants will not be allowed to view your application.
